Indigent/Interpreter Claims Entry (ICE)

The Administrative Office of the Courts has implemented a new online system for submitting indigent fee claims. The Indigent Claims Entry (ICE) system significantly streamlines the process by eliminating more than 90 percent of the 135,000 paper claims the AOC receives on an annual basis.

Please be aware that the current payment processing time is approximately 6 weeks from the time the (Submit for Payment) status is changed.  To find out the date when status changed, open your claim and locate the Status History section.

How to Become a Registered User of ICE

The indigent claims system is a secure site, requiring log-in credentials.  To request access to ICE, send an email to Indigentclaims@tncourts.gov .  We will send you step-by-step instructions on how to request access.  With these instructions, we will also include the ICE users manual.  If you have any questions, please feel free to give us a call.

CALCULATION OF HOURS IN TENTHS
 

  • DISPOSITION INFORMATION - Attorney Fee Claims will require that disposition information be entered before you will be permitted to change the status of the claim.  If the disposition is withdrawn, bound over or dismissed, enter the original offense as the disposition offense; enter 'N/A' as the sentence, and select the appropriate disposition type.  Once entered, the system will permit you to change the status.
  • ACTIVITY DESCRIPTIONS - When entering the description for the activity being billed, free-form the description.  You may enter up to 200 characters when describing the activity.  If you are submitting a Dependency & Neglect claim, provide specific information as to the type of hearing you are billing for.
  • PAYMENT INFORMATION - When updating your payment information on ICE, please send an email to Patricia Brown notifying her of the changes made.  Changing the information in ICE does not automatically notify the staff that changes have been made.  Patricia Brown can be reached at patricia.brown@tncourts.gov.

ACAP Going Live -- February 5th

PLEASE NOTE 

ACAP will go live on Monday, February 5, 2018. ICE will go off-line on Wednesday, January 31, 2018 at 4:30 p.m. It will not come back online. No new claims can be started during the four-day period between the shutdown of ICE and the opening of ACAP. The off-line period is required to migrate data from one system to the other. Attorneys nearing the 180-day deadline in TSCR 13 section 6(a)(5) on any yet-to-be filed claims should plan for this off-line period. All claims in process in ICE on January 31 will be automatically migrated to the ACAP system, regardless of whether they have just been started, been submitted for approval, or are pending payment. No action is required by the user.
